Crimson Speakers is free for event organizers to use: planners do not pay Crimson a separate sourcing fee. That does not mean the speaker’s appearance is free. The speaker fee and related event expenses still apply unless a specific agreement says otherwise.

Treat published ranges as planning guides, not guaranteed prices. The final quote depends on the event brief and contract scope.
Costs Beyond the Fee
Build a budget that accounts for the full engagement:
- Travel and accommodation: airfare or ground travel, hotel, local transportation, and agreed incidentals for an in-person event
- Production and AV: microphones, confidence monitors, playback, internet access for demonstrations, and technical rehearsal time
- Customization: research, stakeholder calls, workshops, or additional sessions beyond the standard keynote
- Recording and usage rights: permission to stream, record, replay, publish, or repurpose the presentation
- Cancellation and postponement: deposits, kill fees, rescheduling windows, and force majeure terms
- Taxes and currency: applicable withholding, tax, or exchange-rate costs for international engagements
Ask for each item to be stated in writing so the quoted fee is not mistaken for the total event cost.
In-Person, Virtual, and Hybrid Formats
Virtual delivery can remove travel and hotel costs, but the speaker fee may still apply. Hybrid events may require additional production planning because the speaker must serve both the room and remote attendees.
Do not assume every speaker offers every format or that a virtual session automatically costs less. Confirm the format, session length, audience access, Q&A, rehearsal, and recording rights in the quote.
How Bureau Pricing Affects the Budget
Bureaus may use commissions, fixed charges, memberships, markups, or service fees. Ask how the bureau is paid, whether any organizer-facing fee is added, and which costs are included in the quote.
Crimson does not charge event organizers a separate sourcing fee. Planners should still budget for the selected speaker's fee and contract expenses shown in the current quote and agreement.
A Practical Budget Request
Provide these details when requesting options:
- event date and location
- in-person, virtual, or hybrid format
- audience size and seniority
- keynote topic and desired audience outcome
- session length and Q&A expectations
- available speaker-fee range
- travel assumptions
- customization, workshop, or recording needs
- approval deadline and contracting requirements
A complete brief makes it easier to compare speakers on the same scope rather than comparing headline fees that include different services.
Before You Sign
Confirm the speaker fee, deposit schedule, travel terms, AV rider, preparation commitments, cancellation terms, recording rights, and any additional-session fees. If a number or obligation is not in the agreement, do not assume it is included.
